The HartfordMiles PROGRAM RULES

Effective June 1, 2010


  1. The HartfordMiles® Program, including any separate campaigns from time to time (collectively, the "Program"), is offered by Hartford Fire Insurance Company for itself and its property and casualty insurance company subsidiaries (collectively, "Hartford") pursuant to the Program Rules set forth herein. The Program offers participants HartfordMiles that may be redeemed for selected items ("Awards").  The Program is administered on behalf of Hartford by HMI, Inc. and/or Award Headquarters (collectively "HMI").  Any separate campaigns will operate for periods and on additional terms that will vary from time to time, which will be set forth in materials that will be communicated separately at the time of the announcement for that campaign. Contact your Hartford Small Commercial or Personal Lines Sales Representative for Program or campaign information.  

  2. By registering for and/or participating in this Program, any and all Participants (as defined herein) agree to be bound by the Program Rules established by Hartford. Hartford reserves the right to amend the Program, the Program Rules, any campaign, or the Award offerings at any time without notice.  Hartford reserves the right to final interpretation of these Program Rules and to terminate this Program or any portion thereof at any time. All Participants agree to abide by said decisions.

  3. Only agency Customer Service Representatives ("CSRs") and Producers who are licensed, appointed by a property and casualty insurance company of Hartford, and employed by agencies that represent Hartford with respect to Hartford Small Commercial or Personal Lines insurance products may participate in the Program.

  4. To enroll in the Program, CSRs and Producers must submit all required information identified on the official Enrollment Form, available at www.thehartfordmiles.com, or any other registration system implemented by Hartford for the Program, including without limitation:

    • Valid National Producer Number ("NPN") (for information regarding the NPN, click here: http://www.nipr.com/html/PacNpnSearch.html
    • Verification of Producer or Agent license
    • First and last name
    • Complete home address, business telephone number, and business email address
    • Agency name and producer code,
    • Social security number or Federal Employee Identification Number (for tax purposes)
    • Unique Electronic Business Center ("EBC") login ID
    • Create a unique User ID and Password
    • Confirm acceptance of Program Rules

    Only CSRs and Producers that have fully enrolled in the Program will earn and accrue HartfordMiles. No HartfordMiles will be earned or accrued for eligible policies submitted prior to the date of the enrollment or during periods when a CSR or Producer has submitted incomplete or incorrect enrollment information.

  5. Each Participant will use the created unique User ID and Password combination to access the Program website located at www.thehartfordmiles.com, where Participants can track their participation activity in the Program. Accounts will be updated weekly and can be viewed via the "Statement" tab on the website.  This page will contain the number of HartfordMiles issued to the Participant for eligible policies, and the Award activity for the Participant.

  6. All completed eligible personal lines and small commercial policies will qualify for the Program.  Any policy which cancels prior to its expiration date is not eligible for the Program.

    For Personal Lines: Eligible new issued policies are those processed between the specific campaign/contest dates announced. To be eligible for HartfordMiles, the new Personal Lines policy must also be: a.) prepared by an authorized and enrolled Hartford agent identified by his/her Hartford EBC login ID; b.) processed as a complete issued policy within Hartford’s QTI or ExpressWay® systems, which includes presenting a premium for standard personal auto or account homeowners new business (FL standard personal auto new business only);

    For Small Commercial:  Eligible new issued policies are those processed between the specific campaign/contest dates announced. To be eligible for HartfordMiles, the new Small Commercial must also be: a.) prepared by an authorized and enrolled Hartford agent identified by his/her Hartford EBC login ID; b.) processed as a complete issue using our online quoting and submission tool within Hartford’s ICON or ExpressWay systems, which includes presenting a premium for eligible Spectrum®, Workers’ Compensation, or Commercial Auto new business.

  7. Policies that (i) are declined; (ii) are submitted without required documentation; or (iii) are otherwise not complete and/or not in compliance with Hartford Small Commercial and/or Personal Lines submission guidelines, the Agency Agreement or applicable underwriting rules will not earn HartfordMiles.

  8. Hartford reserves the right to audit all issued policies to make appropriate adjustments based on eligibility for participation or issuance of HartfordMiles. Hartford reserves the right to deduct or offset for any HartfordMiles that are incorrectly issued, including without limitation HartfordMiles issued for any policy that cancels prior to its expiration date.  Any Participant who has any HartfordMiles disallowed, deducted or offset may make a request for review within thirty (30) days of any notification of a determination of disallowance. This request should be directed to the participant’s local Hartford Sales Representative.

  9. HartfordMiles have no face cash value. HartfordMiles must be issued in the name of the Participant. HartfordMiles are not transferable, cannot be reissued, cannot be combined with HartfordMiles from another account, and may only be redeemed by the Participant. However, redeemed Awards may be sent to the Participant or person of their choice as indicated upon Award check out. No substitutions of Awards of any kind will be given or allowed.  All Awards are subject to availability and change.

  10. Not all features and benefits are available in all states, and the Program is void where prohibited by law.


  11. Participants are expected to comply with all applicable laws, including any pertaining to disclosure of compensation. Where applicable, the compensation under this Program is deemed part of Participants’ base commission for disclosure purposes, and, where required, Participants are expected to disclose to insureds and to prospects the terms of this Program and any compensation payable by Hartford. Each HartfordMile is deemed to have a value of 1.429 cents for compensation and disclosure purposes. Any tax liability incurred by virtue of receiving an Award is the sole responsibility of the Participant receiving such Award. A federal tax form 1099 will be issued to all Participants whose adjusted Award values exceed $600 in a calendar year.


  12. Participants are under no obligation to recommend the acceptance of Hartford’s quotes and are free to obtain and present quotes from other insurers.


  13. Participants must earn or redeem HartfordMiles (each, a "Qualifying Activity") at least once every 12 months in order to retain their earned HartfordMiles.  Each Qualifying Activity extends the expiration date of all HartfordMiles in a Participant’s account for 12 months from the date of the most recent Qualifying Activity.   If a Participant has no Qualifying Activity in any 12-month period following the most recent Qualifying Activity, all HartfordMiles in the Participant’s account will expire at the conclusion of that 12-month period.  Notwithstanding the foregoing, all Participants will be deemed to have a Qualifying Activity on June 1, 2010, and no HartfordMiles will expire under this provision until June 1, 2011.

  14. Online redemptions are accepted anytime throughout the Program provided Participants have accumulated the necessary HartfordMiles. Participants may redeem their HartfordMiles by logging onto the Program website at www.thehartfordmiles.com using their User ID and Password, and selecting an Award from the online catalog. Once redemptions are submitted, the Participant will receive an acknowledgement of the redemption, a confirmation number and instructions for making travel reservations, if applicable. Participants should print and retain a copy of this information for future reference. Awards are generally delivered within 3 to 4 weeks of receipt of the redemption. All Awards for which HartfordMiles are redeemed are further subject to the terms and conditions of the Award suppliers, and the terms and conditions outlined in these Program Rules may not apply to all suppliers.

  15. No changes in the format or elements of Awards are permitted. No cash or credit allowances will be made or reimbursed. Awards providing for a cash savings cannot be combined with any other Award or promotion. Other restrictions. Any applicable payments must be made by a major credit card. Neither Hartford nor HMI are responsible for lost, stolen or destroyed Awards, Award certificates or Award documents of suppliers.


  16. Hartford reserves the right to reject or reclaim an Award order due to printing errors in any Award catalog, the Program website, or Program Rules. While every effort has been made to ensure that the data in any Awards brochure is accurate, Hartford, HMI or its appointees are not responsible for errors or omissions.

  17. At its sole discretion, Hartford may terminate or suspend the Program at any time. Advance notification of any such termination or suspension will be provided to all Participants with a specific redemption deadline. Generally, Participants will have three (3) months from notification of termination or suspension of the Program to redeem any earned HartfordMiles. HartfordMiles that are not redeemed by the redemption deadline will be void.

  18. All questions regarding the Program, or any requests for assistance or Program materials, should be directed to The HartfordMiles Program Help Desk at 1-800-343-4034, ext. 266, Monday through Friday, holidays excluded, or contact can be initiated through the "Contact Us" section on the Program website, www.thehartfordmiles.com.

  19. All Participants agree, except where prohibited by law, to the use of their name, image or likewise without compensation, and further agree to execute a publicity release upon the request of Hartford.


  20. Hartford and HMI and their respective parent, subsidiary and affiliated companies maintain no control over the personnel, equipment or operations of any air, water or surface carrier, ship line, bus or limousine company, transportation company, hotel, restaurant, tour company, retail establishment, catalog retailer, or other person or entity furnishing travel services, general services, products or accommodations as part of a trip or retail purchase, because all establishments offering products and/or services through the Program are independent contractors. Hartford and HMI and their respective parent, subsidiary and affiliated companies make no guarantees, warranties or representations of any kind, expressed or implied with respect to products or merchandise and shall not be liable for any loss, expense, damage, injury or death incurred as a result of any defect in or failure of such items.

  21. HARTFORD AND HMI SPECIFICALLY DISCLAIM ANY IMPLIED WARRANTIES OF MERCHANTABILITY OR FITNESS FOR A PARTICULAR PURPOSE.

    Hartford and HMI and their respective parent, subsidiary and affiliated companies shall not be liable for any death, injury, damage, loss, expense, accident, delay, inconvenience or irregularity that may be caused or contributed to by: (1) any wrongful, negligent or unauthorized act or omission on the part of any of these establishments offering products and/or services through the Program, or any of their agents, servants, employees or independent contractors; (2) any instrumentality, service, product, delivery or accommodation that is owned, operated, furnished, sold or otherwise used by the Program; (3) any wrongful neglect or unauthorized act or omission on the part of any other person or entity not under their direct control; and/or (4) any other cause, condition or event whatsoever beyond the direct control of Hartford and HMI.

    In addition to the Program Rules set forth above, the following Program Rules further apply to HartfordMiles redeemed for travel and related Awards ("Travel Awards"):

  22. All Travel Awards are subject to the terms and conditions of the Travel Award or the supplier of the Travel Award (the "Supplier").

  23. Travel Awards may not be used for business travel.

  24. HMI acts as intermediary and agent for the Supplier(s) in selling services, or in accepting reservations or booking for services which are not directly supplied by HMI, such as hotel accommodations, ground transportation, meals, tours, event tickets and cruises. HMI and its agents shall not be responsible for breach of contract or any intentional or careless actions or omissions on the part of such suppliers, which result in any loss, damage, delay, or injury to you or your travel companions or group members.

    The Participant acknowledges the position of HMI and its agents as identified herein and agrees that Hartford, HMI, and their respective parent, subsidiary and affiliated companies shall not be liable for any death, injury, damage, loss, expense, accident, delay, inconvenience or irregularity relating to the making of the arrangements on the Participant’s behalf, provided same shall be made through generally acceptable suppliers at the time of engagement.  Further, Hartford, HMI, and their respective parent, subsidiary, affiliated companies and agents shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with terrorist activities, war, insurrection, social or labor unrest, mechanical or construction difficulties, diseases, local laws, climactic conditions, abnormal conditions or developments or any other actions, omissions or conditions outside the control of Hartford, HMI or the Supplier(s). The Participant further agrees that restitution of damages, if any are claimed, shall be sought directly from the Supplier(s). By booking and/or embarking upon the travel associated with the Travel Award, the Participant and any other traveler(s) voluntarily assume all risks, and are advised to obtain any appropriate insurance coverages. The Participant’s retention of tickets, vouchers, or booking after issuance shall constitute the Participant’s consent to the above and an agreement on the Participant’s part to convey these contents to your travel companion(s) or other group members.

  25. The redeeming Participant is responsible for all travel reservations in accordance with the terms and conditions of the Travel Award and the Supplier. All Travel Award reservations must be made through HMI. Upon receipt of Travel Award confirmation, a minimum of 21 days advance reservations are required, except where a longer lead period is noted. Once redemption forms are submitted and/or travel documents are issued, any redeemed HartfordMiles associated with the Travel Award are non-refundable and documents are not returnable or exchangeable.
